We are seeking a versatile and highly organized HR Assistant who will also provide support to our CEO. This role is ideal for someone who thrives in a dynamic environment and enjoys working on a variety of tasks that contribute to both human resources and executive management functions. The HR Assistant / Assistant to the CEO will handle a range of administrative tasks and provide dedicated support to the CEO. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Essential Duties and Responsibilities
Human Resources Duties (50%):
- Assist with the recruitment process, including posting job openings, scheduling interviews, and coordinating candidate communications.
- Assist with onboarding new employees, including preparing onboarding materials and planning of initial orientation sessions.
- Assist with maintaining and updating employee records and HR databases.
- Assist with preparing and processing HR documents, such as employment contracts and performance reviews.
- Support the development and implementation of HR policies and procedures.
- Maintain and organize filing systems, both physical and electronic.
CEO Support Duties (50%):
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and arranging travel.
- Prepare and edit correspondence, reports, and presentations for the CEO.
- Coordinate and manage special projects and initiatives as directed by the CEO.
- Serve as a liaison between the CEO and other staff members, clients, and stakeholders.
- Handle confidential and sensitive information with discretion.
- Organize and attend meetings, taking minutes and following up on action items.
Qualifications and Education Requirements
- Proven experience as an HR Assistant, Administrative Assistant, or similar role.
- Understanding of HR practices and employment laws is a plus.
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Must pass background check.
